Applicant privacy notice

This notice explains how we handle the personal data you send us when you apply for a position at Lichtvision Design GmbH. It supplements our general privacy policy.

1. Controller

2. What we process

The data contained in your application: name, contact details, cover letter, CV, certificates and references, portfolio, work samples, availability and salary expectation, plus any further information you choose to send us. We do not ask for and do not want special categories of data (health, religion, ethnic origin, trade-union membership) or a photograph; please omit them.

3. Purposes and legal bases

We process applicant data solely to assess your suitability and to run the hiring procedure. Legal bases: § 26 (1) BDSG and Art. 6 (1) b GDPR (steps prior to entering an employment contract); Art. 6 (1) f GDPR (our legitimate interest in defending against legal claims); Art. 6 (1) a GDPR where you consent to a longer retention in our talent pool.

4. Source of the data

We process the data you send us directly (by email or via a job portal). We do not buy applicant data and we do not carry out automated decision-making or profiling.

5. Recipients

Access is limited to the studio leadership and the team members involved in the specific hiring decision, plus HR administration. Our email and hosting providers act as processors under Art. 28 GDPR. We do not transfer applicant data to third parties for their own purposes. If you apply to a non-EU studio (Hong Kong, Shanghai, Singapore, UK), your data is shared with that affiliate; transfers are safeguarded by EU Standard Contractual Clauses.

6. Retention

If we do not offer you a position, we delete your application data no later than six months after the procedure ends. This period covers the limitation period for claims under the German General Equal Treatment Act (AGG). If you consent to our talent pool, we keep your data for a further twelve months and delete it afterwards unless you renew your consent. If we hire you, the relevant data is transferred to your personnel file.

7. Is providing data mandatory?

Providing your data is voluntary, but without the information needed to assess your application we cannot consider you for the role.

8. Your rights

You have the right to access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction (Art. 18), data portability (Art. 20) and to object to processing based on legitimate interests (Art. 21). Consent can be withdrawn at any time with effect for the future. You may also lodge a complaint with a supervisory authority, for example the Berlin Commissioner for Data Protection and Freedom of Information.
